Services Privacy Policy

This Services Privacy Policy explains how Veneris Tech LLC (“Veneris”, “we”, “us”) processes personal data in connection with the delivery of our AI outbound sales service (the “Service”). It is distinct from the Website Privacy Policy, which covers data collected through veneris.io alone.

1. Scope

This policy applies to:

• Clients — businesses that engage Veneris under a services agreement to run outbound campaigns on their behalf.
• Prospects — individuals whose professional contact details are processed as part of outbound campaigns that Veneris runs on behalf of its clients.

2. Data We Process as a Controller

Veneris processes the following data for its own operational purposes, acting as a data controller:

Client account data

• Business contact information: name, company email address, job title, company name
• Billing information: invoicing address and payment records. Card data is processed by our payment provider and is not stored by Veneris.
• Campaign configuration: ICP definitions, messaging guidelines, sequence settings
• Campaign performance metrics: open rates, reply rates, meeting counts, sequence analytics

Retention: Client account data is retained for the duration of the subscription plus 7 years for financial record-keeping obligations.

3. Data We Process as a Processor

When running outbound campaigns on behalf of clients, Veneris acts as a data processor, processing prospect data under the instruction of the client (the data controller). Prospect data includes:

• Company name and website URL
• Professional email address
• First name, last name
• Job title and seniority level
• LinkedIn profile URL

All prospect data is sourced from publicly accessible professional directories, company websites, and professional networks. The client remains the data controller for the purposes of outbound communications.

Retention: Prospect data is retained for the duration of the client engagement plus 30 days following termination, after which it is deleted or anonymised.

4. Sub-Processors

We engage the following categories of sub-processors to deliver the Service:

• Cloud infrastructure: data is hosted with SOC 2 Type II compliant cloud providers in the United States.
• AI inference: we use large language model providers to generate personalised email copy. Under our contractual agreements with these providers, prospect data is not used to train or improve provider models.
• Email delivery: transactional email service providers are used to send outbound sequences from client domains.

5. Security Measures

• All data in transit is encrypted using TLS 1.2 or higher
• All data at rest is encrypted using AES-256
• Access to prospect data is restricted to Veneris staff directly involved in campaign delivery
• We conduct annual security reviews of our systems and sub-processors
• We maintain an incident response procedure for data breaches

6. Client Obligations

Clients who engage Veneris under a services agreement warrant that:

• They have a lawful basis to conduct outbound B2B communications to the prospects Veneris sources on their behalf.
• Their use of the Service complies with applicable anti-spam and marketing laws, including CAN-SPAM (USA), CASL (Canada), and — where applicable — the GDPR and UK GDPR.
• They will not instruct Veneris to target prospects in a manner that violates applicable law, including discrimination on the basis of protected characteristics.

7. Data Subject Rights

If you are a prospect and wish to exercise your rights — including the right to access, erasure, or to object to processing — please contact privacy@veneris.io. We will respond within 30 days.

For erasure and objection requests, Veneris will suppress the contact from all active and future campaigns on the platform immediately upon verification.

8. Data Processing Agreements

Where required by applicable law, Veneris will enter into a Data Processing Agreement (DPA) with clients. To request a DPA, contact legal@veneris.io.
