Responsible AI Commitment

At Veneris, AI is central to how we operate. We build and deploy AI systems that automate research, writing, and outreach on behalf of our clients. With that capability comes responsibility. This document sets out our commitments — not as aspirations, but as enforceable standards by which we hold ourselves accountable.

1. Transparency

We are open about the fact that AI generates and sends outreach on behalf of our clients. Veneris does not conceal the agency relationship: emails sent through our platform are sent on behalf of the named client business, not by Veneris acting in its own name.

We do not use AI to create false impressions about the origin or nature of a communication. Where disclosure is required by applicable law or platform policy, we ensure it is made.

2. Human Oversight

Automated systems operate within guardrails set and reviewed by humans. Client campaign parameters — including target criteria, messaging tone, and exclusion lists — are reviewed by a Veneris account manager before any campaign is activated.

Prospect qualification — the decision of whether a reply represents a genuine buying signal that warrants scheduling a client meeting — involves human review. No meeting is confirmed through a fully automated pipeline without human sign-off.

3. Data Minimisation

AI models are provided only the data necessary to complete a specific task. We do not pass bulk personally identifiable information to foundation models unnecessarily. Prompts are structured to include only what is strictly required for the personalisation task at hand.

Under our agreements with AI inference providers, prospect data is not used to train or improve provider models.

4. Bias and Fairness

We review targeting criteria — both those we recommend and those provided by clients — to identify and remove discriminatory exclusions or inclusions based on protected characteristics such as race, gender, religion, age, disability, national origin, or sexual orientation.

Clients are contractually prohibited from using the Veneris platform to discriminate unlawfully in the context of commercial outreach.

5. No Deceptive Identity

Our AI systems do not impersonate specific named individuals without their explicit authorisation. Outreach is sent under the client’s business name and domain, representing the client organisation.

We do not operate fake persona accounts, fabricate employee identities, or use synthetic social proof.

6. Respect for Opt-Outs

Any opt-out, unsubscribe, or “not interested” signal — whether received by an AI agent or a human — is processed immediately. The contact is suppressed from all active and future sequences across the Veneris platform. There are no exceptions and no overrides.

Suppression lists are maintained permanently and are not reset between campaigns or client engagements.

7. Continuous Review

We review our AI governance commitments and practices on a quarterly basis. This includes reviewing prompt designs, model selection, sub-processor contracts, and any incidents or near-misses involving AI behaviour.
